Privacy Policy

1. Who we are

"Airview Limo," "we," "us," and "our" refer to Air View Limo Ltd., a Canadian limousine service licensed by the City of Mississauga and the Greater Toronto Airports Authority (GTAA). We operate primarily in Ontario, Canada, with select long-distance routes published by the GTAA.

2. What we collect

We collect personal information you provide when you:

  • Book a ride: name, mobile phone, email, pickup & drop-off addresses, flight number (optional), passenger and luggage count, special requests.
  • Chat with Sophia on our website: the messages you type, together with anything you have already entered on the booking form (name, phone, email, pickup and drop-off, flight details), so she can answer you and fill the form in for you. These are sent to the AI provider that powers her.
  • Call our dispatch line: your phone number is captured via caller ID; call audio is recorded for quality assurance (we disclose this at the start of every call). Recordings are retained for up to 90 days unless required for an open dispute.
  • Use our website: pages visited, device type, and the language your browser asks for (so we can tell whether we should offer this site in another language). We measure this two ways. On our own server, your IP address is used only to derive a coarse location (city level) and a one-day identifier that rotates daily, then discarded; we cannot reconstruct it or recognise your visits across days. We also use Google Analytics, which sets its own cookies and sends your page views to Google. Section 9 explains what that collects and how to switch it off. We also use the Meta (Facebook) pixel, which does the same for our advertising on Facebook and Instagram.
  • Apply for a corporate account: company name, billing details, authorized booker contacts, and optional banking / credit references for credit-terms underwriting.

3. Why we collect it

We use your information to:

  • Dispatch your booking to a driver and confirm the trip by SMS / email.
  • Track your flight automatically and adjust pickup if it shifts.
  • Bill you (or your corporate account) and provide tax-compliant receipts.
  • Improve service through call-quality review and Sophia (our AI dispatcher) training.
  • Send service-related notifications about your trip (driver assignment, arrival, receipts). These are not marketing and are not optional while you have a booking with us.
  • Occasionally send a marketing text, but only where Canada's anti-spam law (CASL) allows it: either you ticked the box on the booking form, or you have booked with us in the last 24 months. We cap these at 15 a year per customer, and replying STOP (or UNSUBSCRIBE, QUIT, OPTOUT) ends them permanently, on any message.
  • Respond to your enquiries and disputes.

4. Sophia, on the phone and on our website

Calls to our dispatch line are answered by Sophia, our AI voice assistant. Sophia processes your speech to capture booking details. Audio and transcripts are stored on our internal systems and shared with the third-party voice-AI provider that powers Sophia (subject to that provider's own privacy policy; named on request). Sophia also answers questions in the chat window on our booking page; those messages, and the booking details you have entered, are processed the same way. If you'd prefer to speak with a human, just say so. Sophia passes a short summary of who you are and what you need to the dispatcher taking over, so you don't have to repeat yourself, and then connects you.

5. Who we share it with

We share personal information only as needed to deliver the service you've requested, including with:

  • The driver assigned to your trip (name, pickup, drop-off, flight number).
  • Our payment processor, if you pay by card in the vehicle. The transaction runs on their systems under their PCI-DSS terms; we never see or store your card number. We take no deposits and send no payment links.
  • Our SMS provider, for confirmation and reminder messages.
  • Our email provider, for booking confirmations and receipts.
  • Google, for address suggestions and route and fare calculation, and for the analytics and advertising measurement described in section 9.
  • Our AI providers, which power Sophia on the phone and in the website chat, and transcribe calls.
  • The Government of Canada and the Province of Ontario, only as required by law (tax, regulatory enforcement, court order).

We do not sell, rent, or trade your personal information.

6. International data transfers

Some of our service providers (including our voice-AI, payment, and mapping providers) store data on servers located in the United States. By using our service, you consent to this transfer. We choose providers who are SOC 2 or equivalent-certified; the current provider list is available on request.

7. How long we keep it

  • Booking records: 7 years (Canada Revenue Agency requirement).
  • Call recordings: 90 days, unless flagged for dispute or training review.
  • Our own website measurement: one record per visit (page, city, device, how you arrived), keyed to a pseudonymous identifier that rotates daily and contains no IP address.
  • Google Analytics: held by Google, retained for up to 14 months.
  • Meta (Facebook) pixel: held by Meta, retained according to Meta’s own policy.
  • Marketing email opt-ins: until you unsubscribe.

8. Your rights under PIPEDA

You may at any time:

  • Request a copy of the personal information we hold about you.
  • Ask us to correct inaccurate information.
  • Withdraw your consent for us to keep information beyond what's needed for an active booking. Note that withdrawing consent for required records (tax, insurance, regulatory) may not be possible until the retention period expires.
  • Ask that we delete records that are no longer required.
  • Lodge a complaint with the Office of the Privacy Commissioner of Canada.

9. Cookies, analytics and advertising

We use cookies and similar technologies for:

  • Session management (login state on the staff portal; CSRF protection). Essential, cannot be disabled.
  • A first-party attribution cookie (av_attr) remembering how you first found us, readable only by our own server, never shared.
  • Analytics. We use Google Analytics 4 to understand how this site is used: which pages are viewed, how visitors arrive, and which pages lead to a booking. It runs with IP anonymisation enabled, and analytics data is retained for up to 14 months.
  • Advertising measurement. We advertise on Google. Google Ads conversion tracking tells us which advertisements lead to a booking, and for that purpose records the fare and the booking reference number of the trip. We also advertise on Facebook and Instagram, and the Meta pixel records the same two details for the same purpose. All of these tags are delivered through Google Tag Manager. We do not send your name, email address or phone number to either advertising platform.

We do not send your name, email address or phone number to Google or to any advertising platform. We do not sell your personal information, and we do not use these tools to build profiles for anyone else's advertising.

You stay in control. Most browsers can block or delete cookies; Google offers an Analytics opt-out add-on and personalisation controls at myadcenter.google.com. Blocking any of this does not affect your ability to book, and never changes the fare you are quoted.

10. Children's information

Our service is intended for adults arranging transportation. We don't knowingly collect personal information from anyone under 18 directly. Bookings for children are made by the booking adult.

11. Changes to this policy

We may update this policy as our service evolves. The "Effective" date at the top of this page reflects the most recent update. Material changes will be announced via the booking-confirmation SMS so active customers are informed.
