How to make a booking, how much lead time we need, what we change without charge, and how to reach a human when something shifts last-minute.

PopularHow far in advance do I need to book?

Two hours is our standard minimum for GTA pickups, three for trips originating outside the GTA, and 24 hours for weddings and group bookings that take multiple vehicles (dispatch needs to position the cars together). Below those windows we'll still try and usually succeed, but call us at 1-866-225-1555 rather than booking online so dispatch can confirm availability in real time.

For airport arrivals: book as soon as you have the flight details. We track the flight automatically, so there's no penalty for the flight being early or late.

Can I book online or do I have to call?

Either. Online at airview.limo/booking gets you a live quote and a confirmed reservation in under two minutes. Calling 1-866-225-1555 connects you to Sophia, our AI dispatcher, who can take the booking by voice 24/7 and hand off to a human if you'd rather speak with one.

For corporate accounts with a billing arrangement: your authorized bookers can also email dispatch@airview.limo and we'll confirm by reply.

Can I change or cancel a booking after I've confirmed it?

Modifications (different time, different vehicle, additional stop): free up to the same cutoff as cancellation, then case-by-case after that. Just call or reply to your confirmation SMS.

Cancellation, no charge:

  • GTA pickups: free up to 2 hours before pickup.
  • Trips originating outside the GTA, or out-of-town destinations: free up to 3 hours before pickup.
  • Group bookings (multiple vehicles) and weddings: free up to 24 hours before pickup.

Inside those windows it's typically a 50% charge; for no-show or driver-dispatched-then-cancelled it's the full quoted amount. We're not rigid: weather, medical emergencies, and flights cancelled by the airline don't count against you.

How do I book a group with multiple stops or multiple drop-offs?

The online form handles single-stop bookings best. For multi-stop, multi-vehicle, or anything time-sensitive (weddings, film crew calls, conference shuttles), call 1-866-225-1555 or email dispatch@airview.limo. Multi-stop days within the GTA are quoted by dispatch as a bespoke flat package; out-of-town is point-to-point plus per-stop.

Will I get a confirmation? When does the chauffeur reach out?

Confirmation SMS goes out within a minute of booking, with your reference number, the fare, pickup details, and a link to change or cancel. The day before your trip we send a reminder, and about an hour before pickup you'll get the vehicle and its licence plate, the detail to look for at the curb, and it stays accurate even if we swap the car. You'll get a final text when your chauffeur is on the way. There's nothing to confirm at any point, and nobody will call you to check.

What if my flight is delayed or rerouted?

We track every flight automatically and adjust dispatch accordingly. No need to call. If your flight is delayed two hours, your chauffeur arrives two hours later and waits at no extra charge. If your flight is cancelled or rerouted to another airport (Hamilton, Buffalo), call us and we'll re-route the pickup or refund without penalty.

Inbound complimentary wait: 60 minutes from wheels-down (international) or 30 minutes (domestic). After that, waiting is billed at $10 per 10 minutes (or part thereof).

02 · Pricing & payment

What you pay, and what's in it.

Two pricing regimes (Pearson tariff vs Airview rate card), what HST and gratuity look like in each, and how payment works without us ever holding your card on file.

No meter. Every trip is quoted before you confirm.

Two regimes: trips that touch Toronto Pearson use the GTAA chauffeur tariff, which is a published rate card set by the airport authority, not by us. We follow it exactly. Trips that don't touch Pearson use our own distance-based rate card, set by us and the same for everyone.

You see the quoted total before you confirm. It does not move based on traffic, route taken, or waiting time within the included allowance.

Always included: HST, fuel, vehicle insurance, parking at the pickup, the chauffeur, bottled water, phone chargers, complimentary wait time at airports.

407 ETR tolls: an extra charge on top of your fare, never included in the quoted price. Your driver advises the toll amount at the time of the trip. The 401 is always available, free.

Pearson (GTAA tariff) trips: Gratuity is not included. Industry custom is 15–20% at the trip's end, at your discretion. The chauffeur won't ask.

Non-Pearson trips (Airview rate card): Gratuity included in the all-in quote.

Possible add-ons: child seats (free up to two), additional stops, wait time beyond the included allowance, vehicle upgrade after booking.

Are there surcharges? Overnight? Stat holidays?

Every extra is fixed, published, and applied transparently in the quote:

  • Additional drop-off: +$15 per extra stop, arranged with dispatch (the online form prices single-stop trips, so multi-stop trips are quoted in full before you travel).
  • Wait you request at a stop: $10 per 10 minutes (or part thereof).

No "demand pricing," no event-based price spikes. The number you see at booking is the number on the receipt.

How do I pay? Do you keep a card on file?

You pay your driver at the end of the trip. Every car carries a terminal that takes all major credit cards, and cash is equally welcome, whichever you prefer, settled in the car.

No card on file. Ever. Nothing is due when you book, there's no deposit, and we don't store payment data.

For corporate accounts on credit terms: monthly consolidated invoicing, Net 15 or Net 30 per your agreement, paid by wire / EFT / cheque. No per-trip card transaction.

Will I get a receipt?

Your receipt is line-itemed with HST, the trip details and your reference number, and meets CRA documentation requirements for both personal and corporate expense purposes. You'll get a text with your trip summary shortly after the ride; if you need the formal receipt, request it at airview.limo/receipt or reply to your confirmation email and our billing team will send it. For per-trip emissions estimates (for corporate scope-3 reporting), email info@airview.limo with subject "Sustainability docs."

I took a car at Pearson without booking. Can I still get a receipt?

Yes. If you picked up an Airview car at the airport and paid the chauffeur directly, use our Request a Receipt form. Tell us the trip date, where you were picked up and dropped off, and the amount you paid (the figure on your card statement), and we'll review it and email you a proper receipt (with our HST number) within one to two business days.

How does tipping work?

Pearson (GTAA tariff) trips: tip is at your discretion at trip's end. Industry custom is 15–20%. Add it to the card payment in the car or hand your chauffeur cash, whichever you prefer.

Non-Pearson (Airview rate card) trips: gratuity is included in the all-in quote, so nothing extra is expected. If you'd like to tip on top for exceptional service, the chauffeur will of course accept, but they aren't watching for it.

03 · Pearson airport

Toronto Pearson, specifically.

We've run airport service since 1976. The questions specific to Pearson are well-worn. Here's the operational detail you need.

Default: the chauffeur waits at the GTAA-designated curbside limousine zone for your terminal. You'll have the vehicle and licence plate by text before you land, so you can walk straight out. If you can't spot the car, call dispatch on 1-866-225-1555 and we'll put you together.

Meet & greet at arrivals: coming soon. Today, your chauffeur tracks the flight, meets you curbside outside arrivals, and texts you exactly where they're standing the moment you land. With 60 minutes of included waiting on international arrivals and 30 on domestic, there's never a rush. In-terminal name-sign service is on its way; we'll announce it when it's ready.

After that, waiting is billed at $10 per 10 minutes (or part thereof), whatever the vehicle class. We're not eager to invoice waiting; the included windows cover deplaning, customs, and baggage in the overwhelming majority of cases.

What if I'm flying into Hamilton or Buffalo instead?

We serve John C. Munro Hamilton International (YHM) and Billy Bishop Toronto City (YTZ) at our standard distance-based rate card. Buffalo Niagara International (BUF) is also covered; we have cross-border chauffeurs with NEXUS, the route is straightforward via the Peace Bridge or Queenston-Lewiston. Buffalo trips run roughly $345 (Pearson direction) or quoted on distance for non-Pearson cross-border.

If your Pearson-bound flight is diverted to Hamilton or Buffalo at the last minute, call us; we'll re-route the chauffeur or rebook from the new airport.

Departures: when does the chauffeur arrive for pickup?

Fifteen minutes early. Once dispatch assigns your car you get an SMS with the chauffeur, the vehicle and licence plate, and their ETA, so you know exactly who is coming and when. We schedule the pickup time backwards from your check-in cutoff, so the booking timestamp is for departure from your address, not arrival at the airport.

For early-morning departures (pre-5am), the chauffeur typically arrives a few minutes before the booked time and idles at the curb rather than ring the doorbell. If you prefer a doorbell, note it at booking.

Can I book the chauffeur to bring me through the GTAA premium-passenger entrance?

The GTAA Premium Pass (formerly Pearson Express Lane) is operated by the airport, not us. If you have access through your airline status or have purchased it, the chauffeur drops you at the dedicated entrance the same as any other curb. We don't sell or arrange premium-pass access, but we know the layout and won't mistake the entrance.

Do you serve FBOs / private aviation?

Yes. Pearson Field Aviation, Skyservice, and the other major FBOs on the south side. For private aviation pickups, the chauffeur clears the FBO ramp access and meets the aircraft door-side where the FBO permits. Book through dispatch directly: 1-866-225-1555, mention "FBO pickup" and the operator.

04 · The fleet

Which vehicle, and what's in it.

Two classes (Sedan and Executive SUV), what each fits, and how we handle child seats, accessibility, and the EV/hybrid transition.

How do I pick the right vehicle?
  • Sedan (Lexus ES or similar): up to 3 passengers, 3 standard checked bags. Right for solo or couple, executive, day-to-day airport service.
  • Executive SUV (Lexus RX, Toyota Highlander, Chevrolet Suburban or GMC Yukon XL, whichever is assigned): up to 6 passengers, 5 standard bags. Right for families, small groups, golf bags, extra winter gear; with the rear seats folded it takes skis, snowboards, and other oversized cargo.
  • Groups of 7 or more: we dispatch multiple vehicles together, never more than 6 passengers per car. Right for wedding parties, conference groups, sports teams, film crew runs.

Live capacity guard: the booking form prevents over-capacity. If you're between vehicle classes, go up. A half-empty SUV is better than a Sedan packed to the doors, and a second SUV is better than an overloaded one.

Are child seats available? Which kind?

Yes, up to two child seats per booking, free of charge, and any trip with a child seat rides in the Executive SUV, for the room to install the seat properly and seat everyone comfortably. We ask each child's age and never their weight, so each band below sits one stage later than Ontario's legal minimum, and with the weight unknown we err toward the bigger seat.

  • Under 2: rear-facing infant seat.
  • 2 to 4: forward-facing seat with harness.
  • 5 to 7: booster seat. For a light 5- or 6-year-old (under 18kg / 40lbs) the chauffeur fits a harness instead. We carry both.
  • 8 and over: the seat belt is correct; no child seat needed.

When booking, tell us each child's age and we'll provision the right seat. The chauffeur installs and verifies the install before you board.

Wheelchair-accessible vehicles?

We don't provide wheelchair-accessible transport. Our fleet has no ramp, lift, or tie-down vehicles. If you need a wheelchair-accessible vehicle, we'll gladly point you toward a specialized accessible transport provider.

Service animals are always welcome, and canes and walkers travel with you at no extra charge, just let us know when you book.

How much of the fleet is electric or hybrid?

As of 2026: roughly 30% hybrid (Highlander, Lexus RX), the remainder internal-combustion; no battery EVs in service yet. We replace at end-of-life with the lowest-emission option available; every replacement since 2022 has been hybrid where a hybrid model exists in livery configuration.

What's in the vehicle?

Standard, every vehicle: complimentary bottled water, phone chargers (Lightning, USB-C, USB-A), tissues, hand sanitizer, umbrella, WiFi (most executive SUVs). The cabin is climate-controlled to your preference; ask the chauffeur or set it through the rear console.

On request at booking (no charge): newspaper of choice, specific bottled-water brand, cooler with ice for groceries, pet-friendly vehicle (a Sedan or SUV designated for pets, with appropriate cleaning between trips).

05 · Chauffeurs

Who's driving.

Vetting, training, what they wear, and what to expect from the interaction.

How are chauffeurs vetted?

Every chauffeur holds a valid Ontario Class G driver's licence, has passed a clean criminal record check renewed every two years, and has cleared an in-house driving assessment (defensive driving, GTAA terminal navigation, customer-facing protocol). Chauffeurs have been with us an average of seven years. Several chauffeurs have been with Airview since the 1980s and 1990s.

What do they wear?

Black suit, white shirt, conservative tie or open collar based on the day's bookings, polished shoes. No casual wear, no logos on the chauffeur (Airview branding stays on the vehicle). The dress code is reviewed before every shift; chauffeurs whose attire isn't to standard are sent home.

What's the chauffeur's role beyond driving?

Door opening, bag handling (front-of-curb to back-of-trunk and reverse), climate adjustment to your preference, route selection (you can request a specific route or leave it to the chauffeur), light conversation if you initiate, silence if you don't. They're trained not to make political, sports, or current-events small talk unprompted. Discretion is the default.

What they will not do: take photographs of you or any passenger, post about the ride on any social channel (employment-contract terms), recommend you to a third party, or accept side-payment for services outside the booked trip.

Languages?

Every chauffeur is fluent in English. Across the team we have native or working-level French, Mandarin, Cantonese, Punjabi, Hindi, Urdu, Tagalog, Portuguese, Italian, Spanish, Russian, Arabic, and Polish. If you need a specific language, note it at booking and we'll match where the schedule permits.

06 · Corporate accounts

For companies and teams.

How to set up a corporate account with monthly invoicing, multiple authorized bookers, and the reporting required for travel-program audits.

Apply at airview.limo/corporate. The application asks for company details, expected monthly volume, billing contact, and (if you want credit terms) two trade references. We review within two business days and email you an account ID, a credit limit, and the list of authorized bookers on file.

How does invoicing work?

Monthly consolidated invoice, sent on the first of the month, covering all trips from the prior month. Net 15 or Net 30 per your agreement. Paid by EFT, wire, or cheque. Each line includes the passenger name, trip date, route, vehicle class, and reference number; the line items match exactly to the per-trip receipts your employees received at the time of service. On the first of each month your billing contact gets an email that the invoice is ready to review and approve in the corporate portal, and the PDF and a trip CSV are always downloadable there.

Can we have multiple people authorized to book?

Yes. The corporate application supports up to six authorized bookers; if you need more, just email after onboarding. Each authorized booker can book on the company's behalf by phone, email, or through the corporate portal, which they sign into with their own mobile number and a texted code, no password to manage. Trips booked through a non-authorized contact at the same company are not billed to the corporate account.

What kind of reporting do you provide?

Monthly: trip-by-trip line items with passenger, route, cost, vehicle class. On request: by-passenger spend, by-department spend (if you assign cost-centre codes at booking), by-route frequency, average trip length. For travel-program audits we can provide per-trip emissions estimates and offset documentation.

Annual: trip volume summary, vehicle-class mix, top destinations, year-over-year comparison if you've been with us 12+ months. Ask corporate@airview.limo.

Are corporate rates different from individual rates?

For trips that touch Pearson: no. The GTAA tariff is fixed for everyone; we can't and don't discount it.

For non-Pearson trips: corporate accounts at meaningful volume (typically 20+ trips/month) qualify for negotiated rates off the public rate card. Discuss with corporate@airview.limo during onboarding.

07 · Service area

Where we go.

Ontario-wide, plus the cross-border destinations our clients regularly need.

Where in Ontario do you serve?

Anywhere in Ontario. GTA day-to-day is what we do most: Toronto, Mississauga, Brampton, Vaughan, Markham, Richmond Hill, Oakville, Burlington, Hamilton. Further-out destinations we cover regularly: Niagara Falls, Niagara-on-the-Lake, the Muskoka cottages, Blue Mountain, Ottawa, Kingston, London, Windsor. Less-common Ontario destinations (Sudbury, Thunder Bay, Manitoulin) are quoted on request.

Cross-border into the US?

Yes, primarily Buffalo (airport BUF, downtown, suburbs), Niagara Falls NY, and Detroit. Our cross-border chauffeurs carry NEXUS, which keeps the Peace Bridge / Queenston-Lewiston / Detroit-Windsor crossing fast in most conditions. Pearson to Buffalo airport runs around $345, quoted Bridge tolls included.

Out-of-state beyond the border zone (NYC, Boston, Pittsburgh) is also possible but quoted as a custom long-distance booking. Call dispatch.

Out of province?

For trips that start or end in Ontario and cross into Quebec (Montreal, Gatineau, the Eastern Townships): yes, quoted on distance. For trips entirely within another province: we work with vetted partner carriers in Montreal, Vancouver, Calgary, and Halifax for clients who prefer one booking contact across cities. Ask corporate@airview.limo for the partner-network referral.

I have an international phone number. Can I still book and get texts?

Yes. The booking form and sign-in both have a country-code picker, so a visitor from overseas can enter their own mobile number in the normal way. We send booking confirmations, driver details, and flight updates by SMS to phone numbers in dozens of countries, so you get the same texts abroad that a local customer gets. Just pick your country code beside the phone field.

Pearson route landing pages?

Every route we run has a dedicated page with its flat rate, travel time, and trip detail. The rates hub lists them all, grouped by Greater Toronto and out-of-town, so you can find your fare in one place. A few of the most-booked:

08 · Policies

The fine print, in plain English.

Cancellation, no-show, weather, lost items, complaints. Written so you don't need a lawyer to read them.

What happens if I'm a no-show?

Outbound (you're picking up from a residence/hotel/office and don't appear): the chauffeur waits 15 minutes past the booked time, sends two SMS attempts, then leaves and the booking is charged in full.

Inbound (airport arrival and you don't appear at baggage / the meet point): we track the flight, so we know if you didn't board. If you boarded but don't appear, the chauffeur waits the full 60-minute international (or 30-minute domestic) complimentary window plus an additional 30 minutes paid before leaving. Always call before assuming we're gone; 9 times out of 10 we can still wait.

What if there's a snowstorm, ice storm, or major weather event?

We run in weather. Every chauffeur is certified for winter driving conditions, every vehicle carries dedicated winter tires from November to April, and dispatch monitors Environment Canada alerts. The trip happens unless travel is genuinely unsafe.

If you'd like to cancel because of weather, we don't enforce the standard cancellation cutoff during Environment Canada warnings; full refund or rebook to a later time.

If we can't safely complete the trip (rare), we refund and help you arrange an alternative.

I left something in the vehicle. What now?

Call dispatch as soon as you realize: 1-866-225-1555. The chauffeur is contacted within minutes. If the vehicle is on another trip, we recover the item at the next handover and arrange courier (at our cost for high-value items within the GTA, by mutual arrangement outside the GTA). Items are catalogued and held for 60 days; after that they're donated.

For lost passports, phones, and laptops we prioritize recovery and will dispatch a courier even outside the standard window. Tell us the item is high-value.

I want to complain. What's the path?

Email info@airview.limo with subject "Trip concern" and your reference number. We acknowledge within four business hours and resolve within two business days. The ownership team reads every complaint, not just dispatch.

For escalations: if you want the owner's direct line, ask for it in your email and you'll get a callback the same day. We don't have a "customer success team" layer; concerns go directly to the people accountable for them.
